Organize Email With Labels

Gmail uses labels to organize your messages. One of the benefits of labels is that an email can have multiple labels. Read below to learn how to create new labels and apply a label to a message in Gmail.

There are some special labels in Gmail: All Mail, Drafts, Sent Mail, Spam, Starred and Trash. When viewing these in a mail client, they will be prefaced with [Gmail]/.  Here is a description of each:

  • All Mail - all of your messages including Sent, Archived and the ones in your Inbox
  • Sent Mail - all of the messages you send
  • Spam - messages that are tagged as spam
  • Trash - messages that have been marked for permanent deletion
  • Important - messages that Gmail thinks are important. Learn how to train messages for importance.
  • Starred - can be an eye-catching way to mark a special message or used as a visual reminder to follow up on a message later. Learn more about starred messages.
How to create a label
  1. Log into Gmail's web interface at mail.reed.edu
  2. Click the More link on the left side and then the Create new label link.
  3. Enter the name for the label. You also have the option of nesting labels if you desire.
  4. Click Create.
  5. Your new label will appear on the left side.
How to apply a label to an email

There are a number of ways to apply a label to an email:

  • When viewing the email, click the the labels icon from the toolbar at the top and select the desired label.
  • When viewing your Inbox, place a checkmark next to the email(s), click the labels icon from the toolbar at the top, and select the desired label.
  • When viewing the email or your Inbox, drag a label from the left side and drop it on the email.

Note: To remove a label, click on the email and click the "x" icon next to the label name that appears above the message.

Templates/Canned Responses

Templates are a great way to save a draft message that can be used reused in the future.

  1. Click on the Gear icon in the upper right, and then choose See all settings.
  2. Click on the Advanced tab on the top bar.
  3. Scroll down until you see the section on Templates, and enable it.
  4. Make sure you click Save Changes at the bottom of the screen.

When you compose a new e-mail, write out your message that you want to be "canned" in the template. When ready, click the three vertical dots in the lower right-hand corner of the compose window, select Templates, then select Save draft as template, and then save this new template by clicking Save as new template.

In order to edit the template, have a new Compose window up, click the three vertical dots in the lower right-hand corner, then select Templates, then click on the template you wish to edit. This will insert the template into your email. Once it is inserted, make any changes to the template. Once you have finished making changes, click the three vertical dots once again. then select Templates, then select Save draft as template, then select the name of the template you were editing. This will overwrite your previously saved template. Gmail will prompt you about overwriting your previous, unedited template- click save to confirm the changes.

To delete templates, have a new Compose window up, click the three vertical dots in the lower right-hand corner, select Templates, then select Delete template, then click the template you wish to delete.

Access Reed Email on a Mobile Device

We recommend and support the Gmail app on iOS and Android mobile devices.

Gmail App on iOS

While it is possible to use iOS's built-in Mail app, we recommend and support the Gmail app to fully take advantage of enhanced security features such as prominent anti-spam and anti-phishing warnings.

  1. On your iOS device, search the App Store for "Gmail" (it will likely be the first app called "Gmail - email from Google"). Download the free app.
  2. After opening the app for the first time, login with your Reed email address (eg, username@reed.edu) and password.
  3. It will ask if you want to sign in to your reed.edu account. Tap the Sign in button again, and the familiar Reed login screen will appear. Sign in with your Kerberos username and password.
  4. Tap the "Go to Inbox" button in the lower left.
  5. Depending on how much email you have, it may take a while for your messages to download.

NOTE: By default, the Gmail app will use the same signature as configured from Gmail's web interface.

Gmail App on Android

  1. The Gmail app is installed by default on most Android devices.
  2. Tap the Gmail Application icon.
  3. Tap the Menu button > Add Account.
  4. Select Existing Account.
  5. Enter your Reed email address and password.
  6. Click Sign in.
  7. Make sure Sync Gmail is checked (uncheck the other Google services you don't want to  sync) and click Next.
  8. Depending on how much email you have, it may take a while for your messages to download.

NOTE: You may wish to configure additional settings like your signature (tap the menu button > Settings > Reed account > Signature).

Email Forwarding

To forward your Reed email to another account, we recommend configuring it through Gmail's web interface. Click on the gear icon > Settings > Forwarding and POP/IMAP tab > Add a forwarding address. Follow the steps to confirm the forwarding address. We highly recommend keeping a copy of Reed college's mail in the Reed inbox.

Students also have the option of configuring this in IRIS (Information Update > Email > Campus email delivery options). However, doing so will bypass your Reed Inbox entirely. Occasionally, a third party mail provider will block delivery from Reed's servers. When this happens, emails sent to your Reed account will bounce back to the sender. For this reason, we advise using the Gmail interface to enable forwarding while keeping a copy of emails in your Reed inbox, as opposed to configuring it through IRIS.

Gmail IMAP/SMTP settings

IT supports Gmail through a web browser (mail.reed.edu), and the Gmail app on mobile devices. Below are the IMAP and SMTP settings if you wish to configure your own mail client. Please note IT is unable to support third party mail clients.
