Using Mail on Mountain Lion or Lion (OS 10.8 & 10.7)

This page will be a basic guide for using the Mail interface in both these versions of OS X.
- Red arrow: Icons in this column give you information about the message adjacent to them. A blue dot indicates that the message is unread, while a grey curly arrow indicates that you have sent a reply to that particular message already.
- The messages listed in the center pane may be selected by clicking once on them. Normal messages appear in Black, while messages that Mail thinks are junk appear in Brown.
- Orange arrow: The small bar between the message list and the message viewing pane allows you to resize the message list. To do so, click and drag on the bar.
- Yellow arrow: Click on each item in the blue panel to expand its contents. Once properly set up, your Inbox should contain the folders on your IMAP account.
- Green arrow: Folders such as Sent, with a large icon next to them, perform special functions such as storing all your sent mail. You may also have a Sent folder in your IMAP account by default.
- Blue arrow: The grey section containing buttons is your main toolbar. From here you may perform actions such as checking your mail accounts, or begin composing a new message.
- Purple arrow: When you select a message in the message list by clicking on it once, its contents should appear in this pane.
- Pink arrow: The buttons on the far left allow you to add a mail account, hide the mail activity pane, or perform actions on the current mailbox.
Dealing with Spam
Though Apple Mail offers spam identification and filtering features, we strongly recommend that you use Webmail to manage your spam.
Creating a Signature
- From the Mail menu, select Preferences.
- Select the Signature tab. Click on the plus sign at the bottom of the panels.
- Enter a name or description in the middle column and the content of the signature on the right column. Click OK. The signature will now be included at the bottom of every email you send. If you wish to remove the signature, select it from the Signatures tab and click Remove.
Backing Up Your Email
Email on Reed's IMAP server is regularly backed up. However, if you save messages locally (On My Mac), those emails are only accessible from Apple Mail on your computer and are not backed up. If you decide to save messages locally, it is recommended that you make regular backups of your Mail folder.
- From the Mail menu, select Quit Mail to close the application.
- In a Finder window, browse to Macintosh HD:Users:Library.
- Copy the Mail folder to another location, such as an external backup drive, your Home Server, a CD, etc.
For a brief overview of the quota system in Reed's IMAP based mail, see Quota Information. You need to periodically delete messages or download them and store them elsewhere in order to keep your account below quota.
To delete messages, select them in the message list and press the Delete button on the toolbar. This will move them to the Trash folder. Messages in Trash continue to take up space on the server, so to free up space, you must empty the Trash by deleting its contents. To do this, you may right-click (or control-click) on the Trash folder and select Erase Deleted Messages.
